This guide hosts the Cadet Group Study Room Policy & Lost and Found Policy for Preston Library at Virginia Military Institute.

Lost and Found Policy

The following are Preston Library’s lost and found procedures, in accordance with VMI’s General Order 10, as well as guidance from Post Police.  The following procedures reflect “appropriate measures are taken to attempt to return lost and found items to their rightful owner; that such items are properly stored; and if the owner cannot be located after a reasonable amount of time that the item(s) are properly discarded” (Source: GO10).

  1. When a lost item is turned in to the Service Desk or found during building stats collection/ 7pm or closing of the Library,
     
    1. Attach a note to the item with date that it was found and where the item was found.
       
    2. Most items should be placed in the Lost and Found bin behind the Service Desk. 

    1. If the item is valuable (like jewelry, a bankcard, VMI ID, etc), email Post Police and cc’ the Assistant Library Director and User Services Specialist/Reserves Manager.  Place the item in the Cash Drawer until picked up by a Post Police Officer.

NOTE: The Service Desk simply holds items in the Lost & Found bin, such as clothes or textbooks, until a member of the Regimental S-4 staff retrieves the item(s), however an item(s) of value or identity (i.e. jewelry, credit cards, ID cards, etc) is to be turned over to Post Police in an immediate/timely manner.

  1. If a non-valuable item belongs to a VMI-affiliated person,
     
    1. If the owner can be identified, contact him or her via e-mail and cc’ the Assistant Library Director and User Services Specialist/Reserves Manager:
      1. The item may be claimed at the Service Desk.
      2. If the item is not claimed in a timely manner from the Service Desk and appears to belong to a Cadet, the item(s) will be picked up by a member of the Regimental S-4 staff who retrieves Lost & Found items on Post and takes them to the Guard Room.  Pick-ups are normally scheduled weekly during the Fall and Spring semesters.
      3. If the item is not claimed in a timely manner from the Service Desk and appears to belong to a VMI faculty, staff, administrator, etc, the item will be sent or taken by a Preston Library team member to Auxiliary Services.  Items will be sent monthly during the Fall and Spring semesters.
         
    2. If the owner cannot be identified, place the item in the Lost & Found bin behind the Service Desk and will it be: 1) picked up by a member of the Regimental S-4 staff who retrieves Lost & Found items on Post and takes them to the Guard Room. Pick-ups are normally scheduled weekly during the Fall and Spring semesters; or 2) sent or taken by a Preston Library team member to Auxiliary Services.  Items will be sent monthly during the Fall and Spring semesters.
       
    3. Make sure that all Cadet items are forwarded to the Guard Room no later than two days before Reading Day at the end of each semester.
       
  2. If an item belongs to someone other than a VMI-affiliated person,
     
    1. Keep item in the Lost & Found bin for three (3) days, then notify Auxiliary Services cc’g the Assistant Library Director and User Services Specialist/Reserves Manager.
       
    2. Arrange to move item(s) not belonging to a VMI-affiliated person to Auxiliary Services no later than the Reading Day at the end of each semester.
       
  3. Check the Lost & Found bin and Cash Drawer daily.  Hold/forward all items as directed.
